Assistant Operations Manager, Commercial – Edmonton Division 

Reporting to the Operations Manager, Commercial and Residential Rental Assets, the Assistant Operations Manager will be responsible for managing the day-to-day operations of the current portfolio of residential rental assets and assisting the Operations Manager in further growing the Commercial Portfolio for the Rohit Group.

ROLE AND RESPONSIBILITIES:

Residential Portfolio

  • Oversee day-to-day performance of residential operating teams (Leasing Associate and Building Operators)
  • Liaise with internal leasing representatives for lease up and renewal of existing residential assets.
  • Ensure residential leases are done in accordance with established rental rates for the unit
  • Ensure credit worthiness assessments have been performed prior to lease execution and credit worthiness scores are in line with established criteria
  • Review and approve all contracts with third party contractors prior to execution by executive.
  • Review all vendor invoices to ensure services have been rendered and are properly coded prior to payment.
  • Ensure number of tenants and occupants are in line with guidelines established for the unit
  • Ensure move in and move out dates are scheduled with building operator/leasing associate
  • Follow up on monies in arrears (i.e. NSFs)
  • Ensure unit inspections are performed prior to any lease renewals
  • Ensure tenant enquiries and complaints are responded to in a timely manner
  • Ensure buildings are operated in a manner consistent with Rohit’s standards
  • Ensure preventative maintenance schedules have been prepared and are adhered to for all rental assets
  • Review all vendor invoices to ensure services have been rendered and are properly coded prior to payment.
  • Implement procedural and administrative processes for rental operations.
  • Act as back-up to Operations Manager when needed
  • Assist with administration behind setting up new projects in Yardi (along with Divisional Accountant)
  • Other administrative tasks, as required

Commercial Portfolio

  • Assist Operations Manager with items on an as-needed basis
  • Act as back-up to Operations Manager when needed

REQUIREMENTS:

  • 5+ years’ residential property management experience
  • Bachelor’s degree or diploma in a field related to Business, Construction, Engineering, Urban Planning or Property Management.
  • Ability to interact and build solid business relationships at an executive level.
  • Ability to assess business opportunities and its associated risks and make quick decisions.
  • Strong customer service skills.
  • Excellent communication skills; verbal, written and listening.
  • Excellent skills in managing deadlines, resources and multiple projects.
  • Ability to motivate and influence change, across a broad spectrum of personnel.
  • Knowledge of project management systems and processes.
  • Flexible and adaptable to rapid change.
